The tracker picks out the company, the job, who wrote and the interview time, finds the card it belongs to and shows what it will change. How to use a job application tracker

Five habits that keep a search moving, whatever the job.

  1. Save before you apply. Put every job you might apply for in Saved, with its deadline, so nothing closes while you are busy.
  2. Move the card the day you apply. The date is recorded and a follow-up is booked for a week later.
  3. Write down who you spoke to. A name and an email on the job make the follow-up and the thank-you note easy.
  4. Tailor, then check. The resume match on each job shows the skills the post asks for that your resume does not show yet.
  5. Look at your numbers every Friday. Huntr’s Q1 2026 job search data (139,927 applications) found tailored resumes got interviews at 4.23% against 2.07% for untailored ones. If your interview rate is low, send fewer, better-fitted applications.

How to update your job tracker from your emails

One email at a time, read in your browser, checked by you before anything moves.

  1. Open the email and copy all of it. Select everything in the message (Ctrl+A, or Cmd+A on a Mac) and copy it. A forwarded copy works, and so does your own reply with their email quoted under it.
  2. Press “Paste an email” above the board. Paste it and press Read the email. Or open a job, go to its Emails tab and paste it there, so it goes straight to that card.
  3. Check what it read. You see the kind of email and the words that decided it, then the company, the job title and who wrote. For an interview you also get the day and the time on your own clock. Every box can be changed.
  4. Pick the card and the stage. The card with the same company and job title is picked for you. When two jobs at one company could fit, it asks instead of guessing. A late “thanks for applying” never pulls a card back from Interview.
  5. Press Apply. The card moves and the right task is added. That is the interview with a calendar file, the test with its deadline, the day to answer an offer, or a reply to a recruiter. The sender is saved as a contact, and Undo stays on screen for ten seconds.

What each kind of email does to the card

  • Application received: a saved job moves to Applied, dated the day the email came, with a follow-up booked a week later.
  • Test or assessment: HackerRank, Codility, HireVue and similar links become a task due on the deadline. “Within 3 days” counts from the email’s own date.
  • Interview invite: the date, the time and its zone, the Zoom, Meet or Teams link and the person you will meet. When they offer several times, you pick the one you reply with.
  • Rejection: the card moves to Rejected and its open tasks close. A confirmation that says “if you are not selected, we will not reply” is not read as a no.
  • Offer: the pay, the start date and the date to answer by go on the card’s offer, with a task to decide.
  • Recruiter message: a new card in Saved, the recruiter as a contact and a task to write back.
  • Job alerts and newsletters are spotted and change nothing.

It reads English best and knows the key words in Spanish, French, German, Portuguese, Italian and Dutch. When it is not sure, it says so and you choose. When our AI is switched on, a Read it with AI button handles the odd email: it sends that one email to the AI, and still nothing changes until you press Apply. Questions people ask

Is this job application tracker free?

Yes, with no account and no limit on jobs. The board, reminders, contacts, numbers, import and export are free. The AI email writer has a small free daily allowance per connection; every email also comes as a ready version filled in from the job card, with no AI and no limit. Signing in to see your board on any computer is free too.

Where is my data stored?

Your board is kept in this browser and saved to ClapAssist, so clearing the browser does not lose it once you sign in. Sign in with your email and the board is saved to your account, so it shows on any computer you sign in on; delete it anytime at clapassist.com/my-data/. If you never sign in, clearing the browser’s site data deletes the board here, and the copy saved to ClapAssist is deleted 90 days after its last change. What you send to the AI is saved to ClapAssist so our tools can fill it in for you next time; see or delete it at clapassist.com/my-data/. Download a backup file from the menu to keep your own copy.

Can I see my board on another computer?

Yes. Press “Sign in to see your board on any computer” above the board and sign in, or make a free account, with your email. The board joins your account, and every computer or browser you sign in on shows the same board. When two boards meet, nothing is lost: jobs from both are combined, and the newest change to each job wins. To use the tracker on one computer, no account is needed.

How do I save a job from LinkedIn or Indeed?

Drag the Save to tracker button to your bookmarks bar once. On any job page, press the bookmark: it reads the job on the page you are looking at and opens it here, ready to save. Links from company career pages on Greenhouse, Lever, Ashby, SmartRecruiters, Recruitee and Personio can simply be pasted.

Does it apply to jobs for me?

No. You apply yourself and keep control of every application; the tracker keeps the record, reminds you to follow up and shows which applications turn into interviews.

Can I import my jobs from a spreadsheet or another tracker?

Yes. Import a CSV or Excel file with a Company or Job title column; status, dates, follow-up date, location, salary, source, contact, tags and notes are read when present, including exports from Huntr and Teal.

What should I track for each job application?

The company, the job title and link, the date you applied, where you found it, the stage, the next step with a date, and who you spoke to. Those are enough to follow up on time and to see which sources lead to interviews.

Can I keep a work-search log for unemployment benefits?

The Log tab lists every application with its date, company, job, how you applied and the contact, for any dates you pick, and downloads it as a spreadsheet or prints it. Check which details your own office asks for.

How long should I wait before I count myself ghosted?

Follow up once, about a week after the date they gave you (or a week after the interview). Follow up once more two weeks later. After that, mark it "no reply" and move on; the tracker books both dates for you and keeps the job in case they come back.

Why not just use a spreadsheet?

A spreadsheet has no reminders, no stages and no numbers on what is working. The rows pile up and the follow-ups get missed. Here each job has a stage, a follow-up date and the resume you sent, and you can still import or export a CSV any time.

Can the tracker update itself from my job emails?

Yes, one email at a time. Paste an interview invite, a test link, a rejection, an offer or a recruiter’s message, and it reads the kind of email, the company, the job, the sender and any interview time. It shows what it will change, and the card moves only when you press Apply. It does not connect to your inbox.

Does it read my Gmail or Outlook inbox?

No. There is no inbox sign-in and no forwarding address. You copy the one email you want to use and paste it. The email is read in this browser; only "Read it with AI", if you press it, sends that email to the AI.

How does it handle interview time zones?

It reads the zone written next to the time (IST, ET, PT, CET, SGT, GMT+05:30, "Eastern Time - US & Canada" and more) and saves the interview at that moment on your own clock, with the email’s own wording kept in the task. "EST" written in summer is read as New York time. With no zone in the email, it uses your clock and tells you.

What if it reads an email wrong?

Fix it before you press Apply: the kind of email, the company, job title, date, time, link, card and stage are all boxes you can change. It says how sure it is and quotes the words that decided it. If you applied by mistake, press Undo, or move the card back by hand.
