ClapAssist ("we", "us") is a desktop application and the service behind it at
clapassist.com. This page explains what we save, why, what we never keep, and how to see or delete it.
ClapAssist is operated by Rakib Ansari Ventures, which decides how your data is used (the "controller" in EU law).
Questions: support@clapassist.com.
What we store
Account: your email address, a hashed password (never the password itself), or your Google or Apple account identifier if you sign in with Google or Apple (with Apple's "Hide My Email", we only ever see the relay address).
Country code: detected from your network when you sign up, used only to show prices in your currency.
Usage records: when sessions ran, how many minutes were consumed, and technical metadata about requests (timestamps, model used, duration charged). This is what makes your minute balance work.
App setup events: the desktop app tells our server which setup step it showed, whether a permission was granted or refused, that you signed in, and that a plan button was pressed, together with a random id made once on your computer and the app version. This shows us where people get stuck. It never includes what is on your screen, what was said, or any document.
Computers you sign in from: the same random id the app makes once on your computer, whether it is a Mac or Windows, your country, and when it first and last signed in. An account works on one computer at a time and can add a few new ones a month, and this list is how we keep to that. When a new computer signs in we email you, so you know if someone else is using your account.
What you give our free tools: when you use a tool on this website, what you put in (for example your resume, a job post or your answers) and what the tool gave back are saved to our server under a random id kept in your browser. Why: so our tools can fill it in for you next time and fit their results to you. If you open an account from the same browser, they are joined to it. Not joined to an account, they are deleted 90 days after you last used them. See or delete them any time at clapassist.com/my-data/.
Your job alerts: the searches you save on the job finder (words, place, filters; with a resume added, the skill names, years and job titles found in it, never the resume itself) are saved to your account so we can email you new matching jobs once a day. Stop any alert from its email; download or delete them on the job finder or at clapassist.com/my-data/.
Your job tracker board: the jobs, stages, contacts, tasks, notes and settings on the job application tracker are kept in your browser and also saved to our server, under the same random id, a few seconds after each change. When you sign in on the tracker with your email, the board is saved to your account instead, and that browser keeps a random key that opens your board and nothing else, until you sign out there. Why: so clearing the browser does not lose your board once you sign in, and so it shows on any computer you sign in on. Not joined to an account, it is deleted 90 days after its last change. Download or delete it at clapassist.com/my-data/.
Your resumes in the resume builder: every resume you make or change in the resume builder (its text, design and, if you add one, your photo) is kept in your browser and also saved to our server, under the same random id, a few seconds after each change. When you sign in on the resume builder with your email, your resumes are saved to your account instead, so they show on any computer you sign in on, and that browser keeps a random key that opens your resumes and nothing else, until you sign out there. You can download or delete them on your saved data page.
Partner program (websites that recommend ClapAssist): if you join as a partner, your name, email, website, the payout details you give us (encrypted), the clicks, sign-ups and sales that came through your link, and which version of the Partner Rules you agreed to and when. Why: so we can show you what you earned, pay you, and show what we both agreed. For people who come through a partner's link, we keep which partner sent them, so that partner can be paid; the partner never sees who you are. Ask us at support@clapassist.com to delete your partner details.
Auto-apply (the ClapAssist Apply Chrome extension): your auto-apply profile (name, contact details, links, current job, school), your standard answers (where you may work, whether you need visa sponsorship, your notice period, your salary expectation and the like), the answers you give to employers' questions so you are never asked the same one twice, the written-for-you answers you approve, and a record of each application the extension sent or stopped (the job, the time, the result, the employer's own confirmation sentence, and any "this answer was wrong" report you send: which answer, and your note). Why: so the extension fills them in for you on any computer you sign in on, and so we can keep to your plan's daily limit. The questions an employer's form asks (never your answers) are kept for up to a day, so the next check is quick. You see every employer and every answer, and confirm each batch, before anything is sent; the applications are sent from your own browser, and our servers never fill in or send an application. ClapAssist Apply's use of information received from your browser adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements. Download or delete your auto-apply profile and answers at clapassist.com/my-data/.
What you give the app: your resume (when you load a new resume file, the last 5 earlier files are kept too), notes and documents, your profile (name, target role, experience, skills, city), and the written recap of each interview. Why: so the app fills them in on any computer you sign in on and your answers fit you better. See, download or delete them in the app under Settings.
Interview transcripts: the words of each interview as the app writes them down (who said what, as the app's Transcript panel shows it). This includes what the other people on the call said. Why: so you can read your past interviews on any computer you sign in on. It is on by default. To stop it, turn off Settings → General → Save interview transcripts in the app; new transcripts then stay on your computer only. To remove what was saved, use Delete saved transcripts in the same place, or delete one interview in History. We save up to 300 KB of text per interview; a longer transcript is cut there, and the saved copy says so.
Payment records: which plan you bought, when, and the payment provider's reference. Card and bank details go directly to the payment provider; we never see or store them.
Invite records: your invite code, which account invited you, the first name you chose to show on your invite page (optional; blank means anonymous), when a friend's link was first opened in your browser (a signed cookie, ca_ref_t, so the free-minute deadline the page shows is real), any minutes you left in a fund for other users, and your answer to our "did you get the offer?" email, which is never published: the public count of reported offers has no names in it.
Interview questions you send us: questions you choose to send through the question bank form are published after a person checks them, without any name; we keep the question, company, role, round, month and a scrambled network key used only to stop spam.
Survey answers: answers to our job seeker survey are anonymous multiple-choice picks, with no name or email. We keep them with your country and a scrambled network key used only to stop repeat answers; the key is blanked after 30 days. Only totals are published.
Anonymous totals: we may publish totals across all users, such as the busiest hours for sessions or how long a session lasts. They never name anyone or include what was said, and any group smaller than 10 people is left out.
What we never keep
Live interview audio and screenshots are sent to our servers only to make your answer, passed to the AI model, and not kept afterwards. The transcript is written from the audio and saved as described above, unless you turn that off.
Card and bank details go straight to the payment provider.
Auto-apply never stores the employer's form pages, screenshots, the codes employers email you (you paste them into the extension; we never read your mailbox), anything about a CAPTCHA, passwords, your browsing history, or your answers to equal-opportunity (EEO) questions: the extension picks "decline to self-identify" where the form offers it, and keeps nothing about it.
A profile photo sent for feedback (LinkedIn optimizer): a small copy is sent to our server and to Google Gemini on Google Cloud to write the feedback, then dropped. It is not saved to your account or your history.
Our ChatGPT app (interview questions): when ChatGPT uses it, we get the role and level you ask about (and the round or question, if you name one) so we can send back the matching questions. ChatGPT may also send technical details such as your language; we do not use them. Nothing is saved, and we never see the rest of your chat.
Who else touches data
AI model providers receive the content needed to produce an answer (the question, any screenshot or audio you send, and your context documents). We hold the provider relationship; you never need your own AI account.
Google Gemini on Google Cloud reads your resume to fill in your auto-apply profile, and writes the short answers you ask the extension for, from your resume and the job post. Every written-for-you answer is shown to you before it is sent, and one that claims anything your resume does not say is dropped.
The employers you confirm receive your application (your answers and your resume) through that employer's own job site.
Payment processing is handled by our payment providers: Razorpay for buyers in India, and Dodo Payments, which acts as the merchant of record, for buyers elsewhere. They process your payment details under their own privacy policies; we never see your card number.
Infrastructure: our servers sit behind Cloudflare, and transactional emails (verification, password reset) are sent through an email delivery service.
Google Analytics counts visits to this website: which pages were opened, from which country and on what kind of device. It runs on the website only, never inside the app, and never sees your resume, your answers or anything from an interview.
Cookies
Ours: a cookie that remembers a friend's invite link, one that remembers a partner website's link (ca_via, 90 days, so the site that sent you is credited if you sign up); your browser's storage also remembers where you first heard of us. They are needed for invites and are not used for advertising.
Sign-in: when you sign in on this website, a cookie (ca_wr) keeps you signed in for up to 30 days. It is needed for the sign-in to work, is not used for advertising, cannot be read by any script on the page, and is deleted when you press Sign out.
Google Analytics: cookies whose names start with _ga, used only to count visits. In the EU, the EEA, the UK and Switzerland they are set only after you say yes. Everywhere else they are set when you open the site.
Every name, and how long it lasts: cookies ca_ref (a friend's invite link, 90 days),
ca_ref_t (when that invite link was first opened, signed, 90 days), ca_via (a partner
website's link, 90 days), ca_wr (website sign-in, up to 30 days) and _ga… (Google
Analytics, up to 2 years, set by Google). Kept in your browser's storage, not sent as cookies:
ca_src and fl_c (where you first heard of us), ca_ga (your cookie choice)
and ca_bid (the random id your free tool saves are filed under). Clearing your browser's site data
removes them all.
Your choice: the site works the same with a yes or a no.
We do not sell your data, and we do not use your interview content for advertising or to train models of our own.
Emails we send you
Account emails (sign-up and sign-in codes, receipts, password changes, a new computer signing in)
always go out, because your account needs them.
Tips, reminders and offers go out only until you unsubscribe. Each one has an unsubscribe link,
and one click stops all of them.
Job alerts go out only for searches you saved, and each one has its own stop link.
Security
All traffic is encrypted with TLS. What you save (resumes, notes, tool results, recaps, transcripts, your job tracker board, your resume builder resumes, your auto-apply profile and answers) is encrypted on our servers. Passwords are stored only as bcrypt hashes, and session tokens are hashed at rest. The desktop app keeps its sign-in token encrypted by your operating system. Our staff do not browse saved resumes; we look at your data only when you ask us for help with it.
Where it is kept
Our server is in France, in the European Union, hosted by Contabo. The services named above (Cloudflare, the email delivery service, the payment providers and the AI model providers) may handle data in other countries, including the United States, only to do their part. Where the law requires a safeguard for such a transfer, we rely on one it accepts, such as
the European Commission's standard contractual clauses.
How long we keep it, and your choices
Saved resumes (including the resume builder's), notes, tool results, recaps, transcripts and your job tracker board: kept while you use ClapAssist, and deleted after 12 months without a sign-in. Website saves not joined to an account are deleted 90 days after you last used them.
Your auto-apply profile and answers: kept while you use ClapAssist, and deleted after 12 months without a sign-in. The record of applications sent is kept while your account exists, because it is what the daily limit counts; "Delete my saved data" removes the employers' confirmation sentences and your report notes from it, and deleting your account removes all of it.
See, download or delete: on the website at clapassist.com/my-data/; in the app under Settings. Deleting your account deletes everything saved with it.
Account and usage records are kept while your account exists.
Payment records (plan, amount, date, the payment provider's reference) stay after you delete your
account, no longer linked to it, because tax and accounting law requires us to keep them.
You can also email us from your account address at support@clapassist.com to get a copy of your data (in a common format), correct it, or delete it, to ask us to limit or stop a use of
it, or to withdraw a consent you gave. We answer within 30 days. Where the law gives you more rights (for example in the EU, the UK, India or California), you have them, including the right to complain to your data protection authority.
Why we are allowed to keep it: saving what you give us is part of the service you asked for (the app and tools fill it in for you). We tell you at every place that saves, and you can delete it at any time. Interview transcripts are saved by default because the app keeps your past interviews for you; the app says so when you sign up and in Settings, and you can turn it off at any time.
Our reasons in legal terms (the "legal basis" EU and UK law asks for):
The service you asked for (contract): your account, what you save, your minutes, your payments
and the applications you confirm.
Keeping ClapAssist safe and fair (legitimate interest): the list of computers you sign in from,
usage records, app setup events, spam and fraud checks, and invite and partner records.
Your consent: Google Analytics cookies in the EU, the EEA, the UK and Switzerland. Withdraw it any
time with "Change my cookie choice" above.
The law: payment records we must keep for tax and accounting.
India: for a complaint about your data, write to our Grievance Officer, Rakib Ansari, at
support@clapassist.com. We answer within 30 days.
Age
ClapAssist is for people aged 18 or older. We do not knowingly collect data from anyone younger; if we learn
that we have, we delete it.
Changes
If this policy changes, the new version appears on this page with an updated date. For an important change,
we also tell you by email or in the app before it applies.
